SUPERVISES: N/A

 

JOB GOAL: To assist and relieve administrative supervisor of paper work and impediments so that he/she may devote maximum attention to the central problems of education and educational administration.

 

PERFORMANCE RESPONSIBILITIES:

 

Compiles data from a wide variety of sources (e.g. master schedule of athletic events, coaches handbook, fee schedules, physical cards, game schedules, out of district forms, etc.) for the purpose of preparing reports, making recommendations, and/or preparing information for Athletic Director.
• omposes a variety of complex documents (e.g. correspondence, event programs, minutes, press releases, etc.) for the purpose of communicating information and/or creating documentation in conformance with established guidelines.
•Coordinates a wide variety of projects, functions and/or program components (e.g. gates for all sporting/activity events, school calendar, transportation for team, etc.) for the purpose of completing activities and/or delivering services in a timely fashion.
•Maintains a wide variety of manual and electronic documents, files, and records (e.g. Athletic Handbook, physical forms for student athletes, schedules, officials contracts, season record archives, budget, requisitions, request for checks for officials, evaluations,
etc.) for the purpose of providing up-to date information and/or historical reference e in accordance with established administrative guidelines and legal requirements.
•Monitors a wide variety of activities on behalf of the Athletic Director for the purpose of achieving goals and meeting target dates in compliance with established guidelines and regulatory requirements.
•Oversees programs for athletic and activity events (e.g. game gates, extra duty time sheets, count/deposit money, etc.) for the purpose of organizing assignments, monitoring progress and ensuring completion within established guidelines.
•Participates in a variety of meetings, workshops, conferences and/or in-service training for the purpose of providing or receiving information recording minutes, and supporting the needs of the attendees.
•Prepares a wide variety of reports, documents and correspondence of a confidential and non-confidential nature (e.g. remittal sheets, school calendar, contracts for sporting events, deposits, leave forms, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
•Processes a wide variety of documents and materials (e.g. purchase orders, reimbursements requests, leave forms. mail, supplies, etc.) for the purpose of disseminating information in compliance with administrative guidelines and mandated requirements.
•Reconciles account balances for assigned budget categories (e.g. student funds, payment for fees, deposits, etc.) for the purpose of maintaining accurate account balances.
•Responds to a wide variety of inquiries from internal and external parties (e.g. coaches, staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
•Schedules a wide variety of activities (e.g. appointments, meetings, travel reservations/accommodations, etc.) for the purpose ofmaking necessary arrangements for Athletic Director.
•Supports assigned athletic director, administrator and/or coaches for the purpose of providing assistance with their functions andresponsibilities.

• Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.

•Must be able to maintain confidentiality.
 

TERMS OF EMPLOYMENT:
• Grade 11 position on the Classified Pay Scale
• Work Days – 12 Month; 10 hour per day, M-Th
